Stallholder FAQ

Follow the process below and note that you accept these terms and conditions on application.

  1. 1. Stallholders complete the application form – Click here for the Application Form
  2. 2. You will receive an email confirming receipt of your application;
  3. 3. If your application is successful, you will receive payment instructions via email;
  4. 4. On receipt, payment will be acknowledged;
  5. 5. Sites will be allocated and you will be notified of the detail;
  6. 6. Stallholders will have access to their sites on Fair day after 5 a.m.

If you book and pay for your site before 30th September an early-bird discount applies as follows:

Site measurement is: (wide is along the street; depth is across the street)

• Standard Site (6m wide by 3m deep) $173.00

• Food Seller Site (6m wide by 3m deep) $199.00

• Half site (3m wide by 3m deep) $127.00

Note: Triple and Quadruple sites are also available.

If you book your site after 1st October the single standard site price increases to $193.00

• Standard Site (6m wide by 3m deep) $193.00

• Food Seller Site (4m wide by 3m deep) $220.00

• Half site (3m wide by 3m deep) $146.00

• By Credit Card – When your application is accepted you will receive an email with a link to our payment system. Sites will only be allocated after payment is received.

• Please follow the directions of block marshals. While unloading or packing down it would be helpful to temporarily park on the pavement to allow other stallholders access and egress to and from their sites. It is important that you unload and immediately move your vehicle – Block marshals will be able to direct you to the most convenient parking areas for parking during the day.

Food Stalls (human consumption)

Masterton District Council requires that ALL food-providing stalls, regardless of packaging or consumption regime to display a MDC Food Stall License at the Fair. This is in addition to any regular food licensing you may have.

If you will be selling ANY products designed for human consumption, your stall will be checked on the day and if you are not displaying the council Food Stall License, you will be required to comply and will be charged a licensing fee.

Note: If your product will likely be consumed at the fair, please ensure you have selected Food/Drink (consumed on site).

Other foodstuffs like honey, water, olive oil or packaged tea/coffee etc should select Food/Drink (other)

All Food Vendors (those selling food for consumption at the Fair, or otherwise) must register with the Masterton District Council at -click here to visit.

• The stall application form will include a section where you can provide a scanned copy of the Temporary Food Stall Licence, once it has been issued to you. If the applicant is a registered food business, they will need to provide a scanned copy of their current registration certificate

• You will not be able to submit your application for a stall until you have attached the appropriate documents.

Restaurants / Cafes wanting to set up a food stall on the pavement in front of their shop and who are registered food premises with Masterton District Council do not need to complete a food stall application.

The pavement area in front of your shop is yours to promote your business – Masterton South Rotary will not charge you for the use of this space but we do ask that you DO NOT allow groups other than your business to use it.

• Water is not provided to stalls. 

• Generator noise must not exceed 60dB. Noisy Generators will be shut down. You must be considerate to other stall holders about noise and exhaust fumes.

• Work Safe may carry out an audit on the day. You must comply with Health & Safety requirements especially in regard to the Electricity Act.

All gas equipment used such as appliances, gas bottles, regulators, hoses, connectors, cooking rings, bbq’s etc must be tested and verified in accordance with NZS 5256:2014 –a certificate of verification must be available for inspection by the organisers.

• Lunch box cookers or canister cookers are not suitable for use and are not to be used.

• We do not provide power to any sites. You will need to supply your own generator and ensure it operates at less than 60bB. Every connection to power must be through an approved RCD device.

PLEASE DO NOT approach retailers with power requests. There is no obligation on the retailers to provide power to stallholders.

• All electrical equipment used such as appliances, leads, plugs, multi power boxes etc must be tested and show current Portable Appliance Test (PAT) tags and must meet OSH standards. The in-service Safety Inspection and Testing of Electrical Equipment known as Test and Tag is from the standard AS/NZS 3760:2010.

• Work Safe may carry out an audit on the day. You must comply with the requirements of the Electricity Act and have leads suitably protected so they do not pose a hazard in any way.

• No – you will need to bring your own shelter such as a gazebo, umbrella or similar. Stalls are set up back-to-back along the centre of the (tar-sealed) road.

• NB: Don’t forgot to bring PLENTY of anchor weights for your gazebo or umbrella.

• The Fair will go ahead “rain or shine”.

• There is no Rain-Check day.

• If, by the organiser’s assessment, the conditions are considered to be too dangerous (eg. very high winds) to operate, the Fair may be cancelled.

• The Fair will go ahead “rain or shine”. There is no Rain-Check day nor refunds because of bad weather.

• Refunds will only apply if the cancellation is COVID-19 related.

• No – we operate on a book in advance basis and do not reserve sites without payment.

• Stallholders will receive access instructions 1 or 2 weeks prior to the Fair. Depending on your stall location we will ask you to arrive at specific times and from specific entry points – this ensures an efficient setup and unhindered access / egress to and from sites.

• The street is closed from 5.00am to 6.00pm to public traffic. 

• The Fair finishes at 4pm and you must be packed and off Queen Street by 5pm to allow street cleaning to be done. Failure to do so may preclude you from next year’s Fair.

• First Aid facilities are located at Rotary HQ, The Woolshed on Dixon Street.

• Public Toilets are located on Bannister Street and on Dixon Street on the edge of Queen Elizabeth Park, opposite Cricket Street.

• Temporary (Portaloos) will be located in Perry Street and Cricket Street.

• There are numerous Cafes, Restaurants and Bars in Jackson Street all of which have conveniences available for THEIR patron’s use ONLY. Please respect this.
